The Basics

What to put on a gift certificate

A good gift certificate answers three questions at a glance: where it is from, what it is worth, and how to use it. Everything else is optional.

Business name and logoTells the recipient where to use it, and makes it look official.

Rules

Gift certificate expiry rules, briefly

This is general information, not legal advice. Rules depend on where your business is.

sold → at least 5 years before it can expire (US federal rule)

In the US, the Credit CARD Act of 2009 (Regulation E, 12 CFR 1005.20) says a gift certificate cannot expire sooner than 5 years after it was sold, and it limits fees for not using it. Several states go further and ban expiry dates altogether.

The simplest way to stay safe is to leave the expiry date off. That is why this tool starts with no date, and warns you if you set one less than 5 years away. Outside the US, check your country's consumer rules before printing a date.

Avoid These

Six gift certificate mistakes

Most problems with gift certificates come from these, and all of them are easy to avoid.

📅

An expiry date that breaks the rules

In the US, federal rules do not let a gift certificate expire sooner than 5 years after it is sold, and some states ban expiry dates entirely. When in doubt, leave the date off.

Check before you set a date
🔢

Every certificate has the same code

If all of your printed certificates share one code, you cannot tell which one was used or spot a copy. Number each printed copy.

No way to redeem

The recipient may not know your business. Put your website, phone number or address on the certificate.

Terms nobody can read

A paragraph of fine print in tiny type looks defensive. Keep the terms to one short line.

Off-brand design

A certificate in random colors looks homemade. Add your logo and pick an accent color that matches your shop.

No record of what was sold

Keep a simple list of each code, its value and the date it was sold. It is what makes honoring a certificate quick and fair.

Best Practices

8 tips to sell more gift certificates

All Common Ninja widgets mentioned below are free to start.

01

Make it easy to buy as a gift

Most gift certificates are bought last minute. Keep printed copies at the counter and mention them at checkout in November and December.

02

Offer round amounts

Round numbers like $25, $50 and $100 are the easiest decision for a buyer. You can still accept any amount.

03

Sell a named experience

"One 60-minute massage" or "Dinner for two" feels more like a gift than a number. Switch the value to Service or item.

04

Number every copy

Turn on numbering when you print, so each certificate on the sheet gets its own code.

05

Tell your website visitors

People shopping for a gift often check your website first. A popup that says you sell gift certificates catches them right there.

06

Announce it across your site

A slim bar on every page, such as "Gift certificates available for the holidays", reminds every visitor without getting in the way.

07

Set a last day for holiday orders

If you mail or prepare certificates, tell people the last day to order so nobody is disappointed.

08

Follow up after redemption

A first visit from a gift is the start of a new customer. Ask them to come back or leave a review.
